Position Description

TheSr. Administrative Assistant will provide administrative and secretarialsupport to the Northeast AreaRegional Directors. Responsibilities include managing a complex calendar,coordinating various business meetings and appointments, organizing domestic travelitineraries, and processing general mail and information inquiries coming intothe office, and assisting with special projects and reports to assure that keydepartment objectives are met.

MainAreas of Responsibilities

  • Scheduleall appointments and meetings with other departments and external contacts

  • Providing Area and Regional septic sales reports
  • Reservemeeting space arrange for audio/visual equipment, and publish agendas

  • Arrangetravel arrangements including flight details, hotel reservations, seminarregistrations, etc.

  • Providegeneral administrative services including mail distribution, typing,photocopying, faxing, scanning, phone, and help maintain departmental files,(paper/electronic)

  • Preparememos, letters, reports, presentations and other business correspondence,either independently or from written/verbal instructions

  • Copyand distribute correspondence in a timely and efficient manner and file allappropriate documents from department

  • Prepareexpense reports, expedite and track processing of all expense reports, checkrequests, and purchase requisitions

  • Ensurereconciliation of reimbursement with expense reports and maintain copies ofexpense reports, receipts and reimbursement checks

  • Reconcilemonthly expense budget reports ensuring accuracy of entries and managetimesheet data entry and reports

  • Workindependently or with others to complete special projects as needed usingextensive computer and communication skills

  • Educationand Experience

  • Highschool degree; college graduate preferred.

  • Threeto five years of increasingly responsible administrative and secretarialexperience.

  • Advanced knowledge ofword processing, graphic presentation and computer software related to specifictasks.

  • EssentialSkills and Abilities

  • Demonstratedexcellent computer and word processing skills with special emphasis oncalendaring, presentation, and spreadsheet capabilities.

  • Working knowledge ofcompany policies, procedures and operations.

  • Excellentcomposition, grammar, and business language skills.

  • Excellentcommunication and interpersonal skills with the ability to effectivelycommunicate with all levels of management.

  • Creative, flexible,well organized, resourceful and detail oriented.

  • Excellent judgementin handling confidential, legal, or sensitive information.

  • Ability to workindependently, set priorities and handle multiple tasks with a high level ofefficiency and little or no supervision.
