Job Title



Distribution Coordinator



Position Summary



The Distribution Coordinator is responsible for the coordination of clinical supply distribution across customer portfolio.



The Distribution Coordinator role is critical to our patients. Ensuring things are done right the first time and meeting critical deadlines with patient safety in mind, executing with efficiency always. Quality, safety and on-time delivery is a must to be successful in this role!



The Role





+ Coordinate and dispatch shipments of clinical trial material to clinical sites.



+ Process orders, assemble folders (on-site and offshore generated).



+ Audit folders for accuracy against customer requests and source documentation.



+ Run business Intelligence reports to understand schedule pipeline.



+ Support same day, 24 hour, 48 hour, bulk, sample, Just-in-Time order requests.



+ Responsible for 95% completion of work to floor the day before and adhere to shift processing expectations set by supervisor.



+ Anticipate and rectify distribution problems (operational, system, process, technology).



+ Coordinate with Distribution Project Coordinators and support issues resolution solutioning.



+ Understand customer expectation to be sure execution is in alignment with agreed scope of services.



+ Maintain distribution group mailbox and associated documentation in alignment with GxP standards.



+ Support distribution execution group (Material Handlers, Shipping Associates) to resolve operational and document related issues.



+ Support schedule maintenance activities - ensure data integrity.



+ Coordinate with Import / Export Coordinator and Distribution Project Coordinator with international order processing and documentation preparation. Resolve issues.



+ Understand and use source documentation i.e. Distribution Summary, Distribution Master Checklist in conformance to Catalent Standards. Work with internal teams to continuously improve documentation accuracy against study and operational requirements.



+ Ensuring that Study Drug is shipped in compliance with all applicable SOPs and in accordance with the customer approved study specific Distribution Summary Protocol/Checklist.



+ Acknowledge shipment is dispatched in IVRS when required.



+ Generating shipment documents for the requested Clinical Trial Materials.



+ Support investigations and resolve customer issues related to distribution.



+ Understand and adhere to standard operating procedures (SOPs) in a GMP setting.









The Candidate (requirements)





+ Incumbents will be required to have a high level attention to detail while managing multiple projects and/or priorities under tight deadlines.



+ Strong computer skills are required - (including, but not limited to, Microsoft Word, Power Point, and Excel and ability to quickly learn new systems/programs).



+ Distribution and cold-chain experience is preferred.



+ Knowledge and experience in cGMP and FDA regulations is preferred.



+ Knowledge of exporting clinical trial materials is preferred.



+ Proven written, verbal, and interpersonal communication skills are required.



+ Strong project management and customer service skills are required.



+ Ability to work effectively under pressure to meet competing workplace demands and appropriately prioritize is required.



+ Demonstrated ability to read, write, and speak clear English is required.
