Job Description

The Assistant to the Chair will provide administrative and executive administrative services for the Chair of The Department Of Pathology

You will:

Schedule and prioritize all appointments and maintain Chairman's weekly and yearly calendars.

Manage scheduling process for regular departmental meetings, such as monthly faculty meetings, leadership meetings, and administrative meetings.

Takes minutes and distributes minutes for meetings as directed by the Chairman.

Coordinate all appointments, reappointments, and promotions to the medical staff Coordinate all recruitment efforts for new faculty, including travel arrangements, housing tours, interview schedule and recruiting dinners.

Create well-formatted documents (e.g., letters, spreadsheets, slide presentations, e-mail) that are easy to read, in collaboration with the author.

Adhere to required format guidelines for publications and special reports. Uses standard formatting for correspondence.

Use correct computer applications and features to produce, update and distribute documents as efficiently as possible.

Schedule meetings using MSKCC's electronic calendar, phone calls, and electronic mail to determine meeting dates that will accommodate all schedules. Work collaboratively with other staff through several interactions to determine common available times.> Screen calls to determine appropriate triage and priority. Depending on assessment of caller's needs, directly handles the caller's question, takes message and routes to appropriate individual, or transfers call to proper individual. Follow up as needed to resolve.> Sort and screens mail.

Initiates, records and follows up on all work requests, travel authorizations, expense vouchers and other forms.

Provide other administrative service and support for special projects

as directed by the Chairman Initiate completion of proficiency

testing, licensure renewals, and other regulatory documents from New

York State and other agencies for the department Plan and coordinate

all conferences and special events for the Chairman including lecture

series, receptions, dinner, departmental parties, etc

You Need:

Bachelors Degree preferred with 2-4 years experience. #LI-POST

Schedule: M-F. 9-5 generally but flexibilityis a must- positoin will occasionally require earlier or later hours.
