Come join the US Financial Services Group team as a Business Administrator and support the Senior Leadership Team. We need a motivated team player to join our great team! We are looking for an enthusiastic individual who likes to be challenged, is flexible, likes working closely with others, and takes pride in their work. A successful candidate will have demonstrated work experience supporting a General Manager or Senior Executive and team in a fast-paced environment, with strong planning, organizational and time management skills. The candidate should be flexible, have the ability to work independently, be comfortable operating with ambiguity, multi-tasking, meeting deadlines, changing direction in rapid response to a fluctuating work environment and prioritize among multiple projects with a dynamically changing workload. Additionally, the ideal candidate must be able to maintain a cool and focused persona under pressure, maintain professional and positive interactions with others and be able to establish professional relationships and credibility with all internal and external contacts.

The ideal candidate will have the following qualifications:

* Minimum of 4 years of administrative assistant experience, preferred
* Proficiency with Microsoft productivity software, Outlook, Word, Excel, OneNote, PowerPoint & SharePoint
* Knowledge of internal MS business tools like HeadTrax, MS Market, MS Expense, MS Space, MyOrder, FIM
* Effective verbal and written communication skills required
* Quick learner
* Exceptional ability to organize
* Analytical and proactive

Required Qualifications:

* Experience with Microsoft productivity software including Outlook, Word, Excel, OneNote, PowerPoint & SharePoint
* Experience with expense tools, vendor management and facilities.
* 4+ years of administrative assistant experience or similar (facilities or managing events, etc.)

The ideal candidate would provide a variety of administrative and district related functions but not limited to:

* Calendar Management (day to day, fiscal year planning, and time management)
* Coordinate domestic travel logistics
* Expense Management
* Help to plan and drive the annual Rhythm of the Business (ROB), including set up online meetings in accordance with the ROB
* Assist in maintaining team alias/security groups
* District Coordination
* Assist in tracking Opex and Headcount
* Manage assets
* Manage space and coordinate office moves
* Purchasing and processing invoices
* Meeting and event planning and manage both onsite and offsite locations; including meeting requests, booking rooms and catering
* Help coordinate necessary activity around district new hire process (order equipment, obtain badges, etc.)
* Backup to executive administrator in the district
* Staffing desks for training class registration
* Assisting with other group projects as needed
* Ensure compliance with administrative operations policies and procedures
* Complete projects under limited direction from manager or other administrative staff, manage frequent contact with all levels of employees and managers, as well as frequent contact with outside customers and suppliers
* Communication including posting content on LinkedIn, communication to the district, leaderboards, WinWires, blogs, tweets
* Update organization chart
* Take notes during LT staff meeting action items and follow up with the action item owners to ensure completion
* Staff registration desk for NY metro classes and organize room prep, working with facilities
* Create and manage the District's DLs and team aliases
