The Administrative Assistant will report to the Administrative Manager/Administrator and Director of the New York State Psychiatric Institute.
Will be responsible for the daily activities of the Director's Office.
Will work closely with the Administrative Manager/Administrator and Director organizing and coordinating an extremely busy schedule and prioritizing activities.
Will be responsible for managing and coordinating a busy and complex calendar and arranging meetings and special conferences.
Will be responsible for preparing and coordinating a complex travel schedule, managing correspondence and maintaining files, managing information flow to other offices and institutions.
Will interface with faculty and other high-level individuals, donors, senior officers and staff on a daily basis.
Requires a bachelor's degree or equivalent in education and experience, plus four years of related experience.
Strong interpersonal and organizational skills are required as well as the ability to exercise the initiative and judgement.
Must think and write clearly and communicate effectively; must be able to work under pressure and meet deadlines.
Must possess the ability to handle multiple projects simultaneously, prioritize tasks while maintaining responsibility for timely execution; handle highly confidential information and materials.
Excellent written and oral communication skills required.
Must be flexible, unflappable and demonstrate a willingness to be a part of a team
High tolerance for ambiguity and change required
Must be proficient in business software applications (Word, Excel, Email, Outlook, Calendar etc.)
