We are looking for a competent Office Clerk to perform various administrative and clerical tasks to support our offices. You will undertake a variety of activities in the office ranging from filing and answering the phone to basic bookkeeping.
An effective office clerk has the ability to work diligently to help maintain smooth office operations. You must be reliable and hardworking with great communication skills. The ideal candidate will also be familiar with office equipment and procedures. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.
Produce and distribute correspondence memos, letters, faxes and forms to customers for contract/subcontract compliance, assist Project Managers with required forms and documents to be filed with customers.
Develop and maintain accurate job files for each new job to include contracts/subcontracts and filing daily logs, timesheets and other job specific documents.
Assist payroll department with accurately recording and maintaining records for employee vacation, time off request and general attendance.
Assist in registering fleet vehicles and equipment at DMV office. Ensure all paperwork to register newly purchased vehicles is received to file for title paperwork as necessary, insurance documents and bank information for registration.
Maintain office supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
Carry out administrative duties such as filing, typing, copying, scanning, faxing. Etc.
Various other duties as assigned.
Familiarity with office procedures and basic accounting principles
Working knowledge of office devices and processes
Above average knowledge of Office 365 programs with skills in Excel, Microsoft and Outlook email and calendar.
Excellent communication, organizational and multi-tasking abilities.
Full-Time Position – 40-45 Hours Per Week
Monday – Friday some Saturdays as needed.
