ABOUT THE ROLE:

The Facilities Management Administrative Assistant is responsible for support of systems, process and protocols established and required to deliver daily operational support for the client facing Facilities Management team comprised of Facilities Directors, Managers and Associates.

RESPONSIBILITIES:

Plan, coordinate and execute administrative duties for but not limited to:

* Certificate of Insurance validation and tracking

* Vendor weekly activity site schedules

* Ariba requisitioning, invoice and receiving process

* Corrigo work order reporting e. Team schedule and time off tracking

* Trusted Vendor Program tracking

* Vendor contract repository tracking

* Any other general administrative work and tasks

* Business Continuity Plan execution support during activation

* Provide vacation coverage for Regional Director Administrative Assistant

REQUIREMENTS:

* Minimum of 3 - 5 years' relevant experience in a corporate environment as part of a Global Facilities Management team

* Strong interpersonal and communication skills (written and verbal)

* Ability to prioritize, juggle various tasks and work in a fast-paced environment with minimal supervision

* Assertive with excellent tracking and follow up skills

* Must be resourceful, extremely organized, detail-oriented and a team player

* Proficient in MS Outlook, Word, Excel, PowerPoint, MS Visio, SharePoint, Google Drive, DropBox, Corrigo CMMS and Handheld Radios
